Use the button in the congress list to create a new congress.
The following screen appears.
- Title
Enter the title of the congress. This title is used on all printouts, invoices and confirmations. - Default from email address
This email address will automatically be used as the 'From email address' of the system and custom email templates of this congress. When using your own email address, please configure an SPF record on your email server. This prevents emails from being marked as spam.

Please contact our email support team if you would like us to configure a DKIM for your email address. Please note, there are costs involved. - Default BCC email address
This email address will automatically be used as the 'BCC email address' of the system and custom email templates of this congress. - Code
With this you allot a code to the congress. For example. a code that your book keeping uses like 25019 or 25PAR if your Parthen congress is in 2025. This code is used in the confirmation/invoice and other letters. Think carefully about this code and its use. The code may contain a maximum of five characters. On the invoice, the code is followed by a ‘-‘ and a successive invoice number. - Language
Choose the language you want to held the congress in. - Start Date
Enter the starting date of the congress. The date is given as day, month and year, e.g.15/10/2026. - End Date
Enter the ending date of the congress. The date is given as day. month, year, e.g.17/10/2026. - Included modules
Here you can decide of you want to setup the 'Participant registration' and/or the 'Abstract Handling'. Please note that the 'Participant registration' can only handle congresses without hotel registration.
After filling in all the required data, please use the 'Next' button to go to the following screen.
When you choose to use the participant module, you get a warning when you want to save the first screen.
At this moment it's not possible yet to use hotels with a fully online congress. Click 'Yes' to continue and the following screen will be displayed.
- Browser Title
In the browser title you can add the text that will be shown in the tab of the internet screen when someone registers. - Register with email address as username
Hide the username field on the welcome screen and use email address as username instead. The unique email address/username can only be used once in the whole congress. - Use spit welcome screen
Choose to split the welcome screen into three separate pages (new accounts, registered accounts and password forgotten). - Use email verification
Newly registered participants, authors, groups and session proposers will receive an email with a link to verify their email address. Once their email has been verified, they can log into their account.
After filling in all the required data, please use the 'Next' button and the following screen will be displayed.

Copy the layout, styling and text content from an existing congress to your new congress. Please note that you can only copy congresses with the same language. - Copy participant module content
Copy the module content from the selected congress to your new congress. This includes:

- Accompanying person events
- Participant types
- Categories
- Countries
- Mailing statuses
- VAT rates
- Invoice templates - Copy abstract module content
Copy the module content from the selected congress to your new congress. This includes:
Abstract handling:
- Topics
- Keywords
- Presentation types
- Equipment
- Awards
- Free selection 1
- Free selection 2
- Session leader roles
- Session types
- Countries
- Mailing statuses
After filling in all the required data, please use the 'Next' button and the following screen will be displayed.
Payment settings
- Currency
The currency of your congress - Online payment profile
If you use the online payment module, you can choose here to also use it for this congress. - Enable VAT rates
Choose whether you want to use VAT or not. - Show prices incl. VAT
You can choose to show all prices in the participant module including VAT. - Offer VAT reverse charging
Allow entrepreneurs or entities that are established in the Netherlands to reverse charge the VAT by entering a VAT number on the 'Way of payment' page. - Billing address always required
Participants will always be required to fill in the billing address form before either choosing a payment method or submitting their registration, should payments be disabled.
After filling in all the required data, please use the 'Next' button and the following screen will be displayed.
If you choose to make a copy of another congress, the screen above is displayed, with the same number of periods as the copied congress. You can set your payment period dates for your early bird and regular registration. If no participants have been registered yet, you can still make changes to the number of periods and the dates. This needs to be done at the registration types in the module content.
Click 'Save' to save the settings and add the new congress.
