Abstract Module – Set up the congress
- You can set up a new congress in Eventure online by using the button
.
- The participant module for the same congress can also be set up online or when you want to use the offline set up participant module, then it has to be added in the offline Eventure. Use the same ‘Congress Code’ and fill in the rest of the information in the same way. When you upload the participant module, it will be added to the congress online.
Session Proposal Module

- By using the ‘Module Content’ you can set up the fields for the abstract and authors for a closed session proposal.
Please note that you first need to set up the pages in the abstract module as these pages will also be used in the session proposal module.
- Via the ‘Page Editor’, you can set up all pages.
- Change the site to ‘Active’.
- Publish the Publication Link. With this link the session proposers can add their session proposal.
- After the site is active and registrations are made, you can view all via the ‘Session Proposals’, ‘Abstract Proposals’ and ‘Author Proposals’ options in the blue menu. Via ‘Session proposals’ you can accept or reject a session proposal.
- After a closed session proposal is accepted, the authors and abstracts will be available in the abstract module with status non-submitted. You can submit the abstracts and authors yourself if the author doesn’t have to login to do it himself.
- When you approve an open proposal, an author who submits his own abstract via the abstract handling can choose to submit his abstract to this session. Obviously if the session field has been made available in the abstract module.
Session Proposal mailings
- You can email the session proposers via ‘Mailings’.
First create the ‘Mailing Statuses’ via ‘Mailings’. The ‘Proposal Received’ status is always present. Submitted proposals are given this status by default - After adding the mailing statuses, you can give all proposals a status via the ‘Assign Proposal Mailing Status’.
- Then you can create a template via ‘Custom Templates’.
- Via ‘Mailings’ you can use the filters to determine who should receive the email and then you can send the email.
Abstract Handling – Set up the site
- Go to the Abstract Module. The abstract module is set up in ‘Test’ mode by default. All abstracts and authors entered in test mode will not be charged and will be deleted as soon as the status is set to Active.
- In the ‘Module content’ you have to add the topics, keywords, equipment, etc.
- Set up the Abstract Submission form in the Page Editor.
- Submit some test abstracts via the Test Link on the Abstract Dashboard to make sure everything is running smoothly and make changes if necessary.
- Activate the module. Once you have set the module to active, you cannot return to test mode. All test abstracts are deleted.
- Distribute the Publication Link. This allows authors to submit their abstract.
Review Module
- Start with your review module settings to set if the session proposals and Grant applications also need to be reviewed.
- Set up the Reviewer Site via the Page Editor. You can adjust each page separately.
- Create reviewers in the People List. This can be:
-> existing authors from the Abstract Module. Edit an author via the ‘People’ list in the abstract module. By using the ‘Add' button you can add a new role: Reviewer.
-> or import new reviewers via the 'Import' button
-> Assign the topics this person should review.
The 'Assign Abstracts' button on the 'Assigned Abstracts' tab allows you to disable the abstracts associated with the reviewer via the topic when a reviewer does not need to review them.
- Activate the Review Module via the status button at the top right.
The Review Module is now active.
- Customize the email you want to send to the reviewer for his/her account info.
Via 'Mailings' -> 'Reviewer Login / Password'. - Send the login details to one reviewer with the envelope icon button -> Resend Invitation Email
or in bulk via the People list with the envelope icon button
- When the reviewer logs in, he/she can see the abstracts/session proposals/grant applications assigned to him/her.
Scientific Committee Module
- Activate the Scientific Committee Module and provide the details (login name & password, link) to the SC.
- The Scientific Committee can download an overview of the reviewers' scores per topic.
Depending on the settings, your SC can also see the session proposals and grant applications and make reports.
- Based on this, it can be decided whether an abstract/session proposal/grant application should be accepted or rejected.
- Based on the settings in the Scientific Committee module, you can indicate what they can change.
Abstract handling – reject/accept abstracts
After the review process is complete and your Scientific Committee has decided which abstracts are included/excluded from the congress, you can change the status of each abstract based on this decision.
Via the public module -> public abstract data you can change the presentation, add an abstract code and add a mailing status which can be used to notify the contact persons of the abstracts.
You can add mailing statuses via the mailings -> mailing statuses.
Abstract Module – Mailings
- Go to Mailings in the menu bar and create mailing statuses under the 'Mailing Statuses' tab.
(Please note: the Mailing Status is separate from the Abstract Status! Both stand alone.) - Create a mailing template under the 'Custom Templates' tab.
- Click on the button under the 'Mailings' tabto create a new mailing.
- The overview shows that the mailing has been sent and the mailing status has changed.
- Manually reject (for each abstract separately) the abstracts that have not been accepted. Do this with the ‘Reject abstract’ button
of an abstract.
Or do it in bulk via the ‘Manage abstracts’ button in the abstracts list.
Public Module
- Via the ‘Public Abstract Data’ you can change the status of an abstract, adjust the presentation and add an abstract code.
- Via ‘Import proposals’ you can immediately put the session proposals in the Public program.
- Add the rest of the sessions via ‘Page Editor’ -> ‘Scientific Program Page’ and set the rest of the pages as well.
You can also add new sessions via the ‘Sessions’ option in the blue menu.
- The ‘Exports’ tab contains the data for the mobile app.
Abstract Module – Abstract book
Via the ‘Abstract Book’ option in the blue menu, you will automatically be guided through the screens to set the fields.

Once all screens have been completed, you can merge the book via the ‘Export Abstract Book’ button. You can create a new template via ‘Add New Template’. |
