Via the gear icon in the 'Group dashboard' you can view/edut the group module settings.
General tab
Via the general tab you can set a 'Module start' and 'Module deadline' date to have the module automatically be opened or closed.
Groups tab
- Allow groups to register themselves:
When checked, new groups can register online. When unchecked groups must be added or imported via the backoffice. The PCO can send the added groups an invitation email to login and register their participants.
- At least one item per participant:
Group participants can only be submitted if they have at least one registration type or registration event.
- Enable pre-booking for new groups:
Groups can only assign registration types and registration events to their participants that are pre-booked by you, or that were requested by the group and accepted by the PCO.
- Enable group booking requests for new groups:
When enabled, new groups can be registered by a contact person who must book events. These need to be approved by the PCO before any participants can register.
- Send group booking request emails:
to the group when the PCO accepts/rejects a request.
- New group booking request email address:
Receive an email on this address, informing the PCO about new booking requests that have been submitted by any groups.
Invoices tab
Automated invoicing:
Automated invoicing is not possible for the group module.
Attach E-invoice to group invoice emails:
Have the application automatically generate an e-invoice and attach it to the invoice email sent to the groups when you send the invoice via email.
Please click here to check all extra settings required to use e-invoicing.
Zero charge invoices:
If this setting is enabled, invoices will be generated even if the total amount of the invoice is zero. If this setting is disabled, invoices will only be generated if there is at least one paid item.
Please note that this setting may differ from the participant invoices.
Primary invoice data:
Determine whether the address included in the invoice should be taken from the billing address (if there is one) or from the group data. If the billing address is the primary address, the invoice will be sent to this email address. The regular email address of the group will then be used as a CC email address instead.
If no email address is entered at the billing address, the invoice will be sent to the group's email address.
Please note that this setting may differ from the participant invoices.
New invoice for same total amount:
Generate new credit notes and invoices for groups who changed their selected items, even when the total amount due is the same as their previous invoice.
Please note that this setting may differ from the participant invoices.
Currency exchange rate
A currency exchange rate that can be used to display an alternative currency on the invoices.
Please note that this rate will apply to both participant and group invoices.
Separate invoice numbers
Group invoices and credit notes have their own unique numbering sequence, separate from the participant invoices and credit notes. You can only change this setting if no invoices have been created yet.
Invoice number prefix
The invoice numbers will be displayed as the entered text, followed by the generated invoice number.
Please note that this setting may differ from the participant invoices.
Invoice number length
The lenght of the invoice number, without the invoice prefix.
Please note that this setting may differ from the participant invoices.
Invoice number preview:
An example of how the invoice number will look like.
Payment term
Please fill in the payment term. This term is used on the e-invoices.
Payment reminders:
You can set the number of days after the last invoice/reminder for each new reminder. You can send max 3 reminders.
Please note that this setting may differ from the participant invoices.
