To send the emails, for example to notify the contacts/presenters whether their abstract has been accepted or rejected, or let them know when they have the presentation for their abstract, you need to go through a number of steps.
- Go to the abstract module and create statuses.
Via Custom emails -> Mailing statuses -> add status.
You can create statuses. In our example we use these:
Abstract received
Accepted for oral
Accepted for poster
Accepted for video
Accepted for oral confirmed
Accepted for poster confirmed
Accepted for video confirmed
Rejected
- Change the status for all abstracts
Via Custom emails -> Assign abstract mailing status
After you have filled in the status at Step 1, you can check the boxes of the abstracts that will get the same status and you can then assign the status via the envelope icon.
- Create the template
Via Custom emails -> Custom templates -> add template.
Choose for Template type 'Status' and fill in all the fields and add the template text.
Make 2 templates, one for Oral presentation and one for Poster presentation.
- Sending the template/email
Via Custom emails -> Mailings -> Add mailing
Choose your template
For example the Accepted for Oral letter
Choose at 'Mailing status after sending' for 'Accepted for Oral letter sent'
Choose at 'Current mailing status' for Accepted for Oral
After you choose all other filters (if necessary), you see the amount of recipients found. In the example below 46.
Click 'Preview and send' to see which abstracts are included in your selection.
