When you want to use the confirmation letter that you composed in Word via the participant module -> Basic data -> Letters -> ‘Confirmation letter in Word’, you can merge this letter with the selection of the participant details that you enter in the screen below.
The screen below can be reached by using the option ‘Confirmation letters in Word’ in the Reports -> Letters menu.
When you click on confirmation via word the next screen will appear:
The ‘Set up printing Confirmations’ screen provides the possibility to sort and select the participant data. The drop down menu’s ‘Order of records’, ‘Print selection’, ‘Communication’, ‘Payment status’, the option ‘Print from … to and including …’ and ‘Event’, provide the same possibilities as described earlier. Use the check box ‘Print only new and changed confirmations’ to indicate that you wish to print out letters only for new participants and for participants for whom the data has been changed.
Clicking the ‘Merge’ button merges the selected data with the confirmation letter in Word. Clicking the button ‘E-mail via Word’ does the same but also then sends the letter directly to the participants via e-mail. The availability of the ‘E-mail via Word’ button is dependent on the choice made for ‘Communication’.
