You can create an invoice template which will serve as a basis for all new congresses.
Please go to 'Finance' in the blue menu in the main module and choose 'Invoice templates'.
On this page all participant and group invoices, credit notes and reminders are listed.
Since the way to create a template is the same for all invoice types, we only show an example of an invoice template in the example below.
After choosing a report and clicking the 'View' button, a new screen will appear.
In the screen above you have to choose the language in which you want to create your default invoice.
After you have chosen the language, you can set up the invoice.
Please note that this invoice template is used by default when you create a new congress.
If you want to use this template and want to make a copy of another congress, please uncheck the box to copy the invoice template from the other congress.
Please note that after you have created the new congress, with or without a copy of another congress, you can make changes in the invoice template in the new congress. These changes will only apply to that congress.
Besides the invoice templates, you can also set the default 'Invoice styling' for new congresses.
Please note that after you have created the new congress, you can make changes in the invoice styling in the new congress. These changes will only apply to that congress.
At the 'E-invoice settings' tab you can configure the basic information for your e-invoices.
Electronic Invoices use a structured, machine-readable electronic format called XML, which allows them to be processed automatically, rather than manually. Over the next few years, more and more countries within the EU will require the use of e-invoices, and more and more accounting systems will begin to facilitate their use (please see Directive 2014/55/EU).
You can choose to send out e-invoices, along with your regular invoice PDFs, to any participant or group within the EU.
You can fill in default e-invoice settings which you can easily be copied to your congresses when setting up a new congress.
To learn more about e-invoicing, please visit the European Commission website.
Please click the 'Add supplier' button to add the basic supplier info per language.
