To edit a group online, go to the 'Groups' menu and click on the group you want to edit.
The envelop icon allows you to send an email to the group.
By using the text balloon icon you can enter a note for this group. The group can't see this note. Only you can see it here at te group or in reports. Click here for more info about the notes.
With the PDF icon you can download an overview of all participants of this group.
Use the Login icon to login to this group registration.
Please click on 'Edit' to make changes to the group data:
Please pay attention to the warning in top of the screen:
Eventure Backoffice will only import the group data once, so the changes here might not appear there.
If you are working with an offline group module, you need to make the changes offline as well.
On each tab you are able to make changes or delete items.
Like on the 'Billing address' tab:
Settings tab - General settings
* The 'Pre-Booking' setting shows if this group uses booking requests or not.
* By using the 'Allow booking requests' you can turn of the possibility to request bookings for this group.
* With the group status you can open or close the status of the group. The group can either login or when the status is closed no login is possible for this group.
* Via 'Edit mode' at the group mode you can allow the group to make changes/do requests.
When the group mode is set to 'View mode', the group can only view all his bookings/participants, but can't make any more changes.
* At the 'Maximum number of participants' you can set a maximum number of participants a group can add.
* 'Unique extra email required' forces the group contact person to use another 'Extra email' address and it must be unique.
Settings tab - when using group requests:
The 'Settings' tab of the group editor displays the current configuration of this group.
In order to change the configuration of this group, click the 'Edit' button next to the general settings, or if you have enabled the group requests, click the 'Edit' button next to the request settings.
Via the edit button you can check/uncheck the boxes for events or hotels that a group is (not) allowed to choose to make a request.
Settings tab - when not using group requests:
As you can see in the following screenshot, you can't exclude events/hotels for a group. This should be done in the module content of the participant module. The general settings are the same as with using requests.
The 'Participants' tab of the group editor displays all the participants that are currently included in this group. If you would like to view the details of these participants, simply click on one of the participants in the list.
Via the 'Add participant' button you can add participants to the group that are already registered via the participant module. Simply select the participant and save your selection. |
The 'Bookings' tab of the group editor shows an overview of all the approved hotel, registration type and registration event requests that have been submitted by this group.
In order to see a complete overview of all the requests that were submitted by this group, click the 'View Booking History' button at the top of the page.
Group Request Online:
In order to add a new booking to this group, click the 'Add Booking' button at the top of the page. Please note that these requests will first need to be confirmed by the Eventure Backoffice before they can be used by the group.
You can also increase or decrease the number of available requested items by clicking the 'Increase Bookings' or 'Decrease Bookings' button at the bottom of the page.
Decreasing the items will immediately make them unavailable to the group, however increasing the items will first need to be confirmed by Eventure Backoffice.
The Payments tab of the group editor displays all of the (attempted) payments that were made by this group, separated into regular payments, link payments and manual payments.
In order to manually add a payment to this groep, click the 'Add manual payment' button and fill in the payment details in the displayed dialog.
Please note that these payments will NOT be downloaded to the Eventure desktop system.
The 'Invoices' tab displays all the invoices that were created for this group.
If there is a new invoice and/or a new credit note that is ready to be created, you can preview them by clicking the 'Preview Credit Note' and/or 'Preview Invoice' buttons at the top of the page. Once you are ready you can click the 'Send Credit Note & Invoice', 'Send Credit Note' or the 'Send Invoice' button at the top of the tab.
You can always resend the latest invoice to the group, using the 'Invoice' email template, by clicking the 'Resend Invoice' button at the top of the page.
Below these buttons you will see an overview of all of the existing invoices and credit notes of this group, with the most recent one at the top of the page.
If you would like to regenerate and send out an invoice, click on the regerate button to the right side of the associated invoice. The PDF will then be recreated with the current data of the group and sent out to the group again, using the 'Invoice' email template.
To view the last version of the invoice PDF, simply click on the PDF button to the right of the associated invoice.
Additionally, you can manually edit an invoice by clicking on the edit button to the right of the associated invoice. In the resulting dialog and editor you can enter your desired changes, and after saving these changes the latest version of this invoice will automatically be replaced.
In order to view more information about these invoices, such as its history and reminders, click on the 'Show More' button at the top of the page. You will then be able to download the previous PDF versions and / or the reminder PDFs by clicking on the associated PDF button.
The 'Mailings' tab of the group editor displays an overview of all the mailings that have been sent out to this group.
If you would like to view the associated email template for this mailing, simply click on the title of the template in the overview.
You can click on a mailing, for example on the 'Registered' mail. The following screen will be shown:
Via the 'Preview' button you can preview the email with the data of the group. By using the 'Resend' button you can resend the email. You will first get an extra screen to be able to send the email to a different email address than from the group.
Eventure Backoffice will only import the group data once, so the changes you make here might not appear there.
If you are working with an offline group module, you need to make the changes offline as well.
The 'Dot initials' option puts dots between all characters in the initals field. 'Restore previous value will undo your last change for the selected session leaders and for the fields you select in the next screen. |
